Why is the label design file the decisive step in determining the quality of the finished product?
A beautiful design on screen does not guarantee a beautiful label in the final product. The gap between graphic design and actual production is where most label-printing errors occur: color shifts, cut-off text, unreadable barcodes, or fine details that disappear after die-cutting. A technically sound label-print design file is the prerequisite for shortening proofing turnaround time and minimizing production waste.
Each printing technology—flexo, digital, offset, or hybrid—has different file requirements. However, there are core technical principles that apply to every case. Below is the technical checklist that every design file should meet before being sent to the printer.
Technical Checklist for Label Printing Design Files
1. Bleed and safe zone: A minimum bleed of 2-3mm around every edge is required to compensate for die-cutting tolerances. The safe zone must extend at least 1.5-2mm from the die-cut edge, where no text or critical design elements should be placed. Insufficient bleed is the most common cause of unwanted white borders appearing on finished, die-cut labels.
2. Color system and profile: Designs should be exported in CMYK mode, not RGB. For important brand colors, specify specific Pantone codes and discuss with the printer in advance about the ability to achieve color accuracy on the chosen material. Colors on kraft paper, transparent film, or silver decal will appear very different from what is shown on screen.
3. Fonts and text conversion: All text must be converted to outlines (curves) before file export. Missing fonts or fonts incompatible with the printer’s RIP system will cause text to render incorrectly. Minimum font size should be 5pt or above for flexo printing and 4pt for digital printing to ensure legibility.
4. Barcodes and QR codes: Barcodes must be supplied in vector format, not as bitmap images. The minimum contrast between the code and its background must reach 80%. Barcode dimensions must comply with GS1 standards and be verified using a verification device before mass production begins.
5. Overprint and trapping: For designs with overlapping colors, overprint and trapping areas must be clearly defined to prevent white gaps between color areas. This is especially critical in flexo printing, where color registration errors can reach up to 0.2mm.
